DocuSign is hiring for the role of Workplace Operation Specialist!

Responsibilities of the Candidates:

  • Be responsible for maintaining reception desk services, greeting visitors, and assisting internal employees while delivering excellent customer service.
  • Build relationships of mutual trust, and handle requests and concerns in an emotionally intelligent and constructive way.
  • Welcome new hires to the office and familiarize them with building amenities and where to go when they have questions.
  • Manage office supply inventory.
  • Assist with event setup and coordinate with food service providers.
  • Work with the senior leadership team professionally and courteously.
  • Support administrative needs for office operations and ad hoc projects, including meeting room coordination, reporting on office and conference room utilization, and assisting with the local office Slack site.
  • Monitor internal feedback and communication channels (Slack and ServiceNow), and raise findings appropriately.
  • Monitor and audit office cleanliness and functionality, and proactively address issues.
  • Coordinate with building property management and vendors for repairs, maintenance, and other requests.
  • Be a subject matter expert for building access and protocols.
  • Apply workplace-related standards and practices to ensure compliant workplace operations and maintenance.
  • Support vendor management for Workplace Experience Vendors, including food and beverage and maintenance vendors.
  • Partner with People Teams and Employee Resource Groups to deliver employee-centric programs, services, and events, building company culture.
  • Assist in improving Docusign’s Environmental Corporate Social Responsibility by reducing waste and implementing eco-friendly solutions.
  • Coordinate mail flow in and out of the office and act as a FedEx super user.
  • Manage local office access badges and work closely with Security to maintain a safe environment.
  • Respond to emergencies to assist employees, customers, and building issues.
  • Work extended hours when necessary.
  • Collaborate with Global Workplace Experience team members on various projects and initiatives.

Requirements:

  • 3+ years experience in office services, hospitality, reception, and/or facilities experience
  • Advanced administrative experience, or experience in facilities planning and maintenance in a business environment
  • Have general knowledge of Safety Security standards and access control
  • Proficiency with Google Suite, Slack, and space planning software
  • Proactive in seeking out stretch assignments to broaden skills
  • Ability to respond positively to continuous change
  • Great teammate with a flexibattitudeset
  • Excellent verbal and written communication and interpersonal skills
  • High attention to detail and data accuracy
  • Ability to manage multiple initiatives simultaneously
  • Good prioritization and time management skills
  • Proactive approach to problem-solving, and ability to make good decisions in a rapidly changing environment
