Key Responsibilities:
Client Onboarding & Documentation Management:
- Collect, verify, and organize KYC documents from clients, ensuring compliance with regulatory standards and internal policies.
- Conduct thorough due diligence to assess the authenticity and completeness of client information.
- Maintain accurate and up-to-date records of all KYC-related documentation, ensuring easy retrieval
Digital Record Maintenance & Security:
- Utilize document management systems to store and manage digital records securely.
- Implement version control and access restrictions to protect sensitive client information.
- Ensure compliance with data protection laws and organizational policies concerning document retention and disposal.
Interdepartmental Coordination & Client Communication:
- Liaise with internal departments to facilitate smooth documentation processes.
- Communicate with clients to request missing or additional documentation, providing clear instructions and timelines.
- Address and resolve document-related queries promptly and professionally.
Reporting & Documentation updating
- Prepare regular reports summarizing the status of client documentation and compliance adherence.
- Assist in internal and external audits by providing necessary documentation and explanations.
- Identify areas for process improvement and recommend enhancements to streamline documentation workflows
Confidentiality & Ethical Standards:
- Uphold the highest standards of confidentiality and integrity in handling sensitive client information.
- Adhere to ethical guidelines and organizational policies in all documentation-related activities.
- Report any suspicious activities or potential breaches of compliance promptly to the appropriate authorities.
Qualifications & Skills:
- Graduate in any discipline.
- Proficiency in using document management systems and Microsoft Office Suite (Excel, Word, PowerPoint).
- Strong analytical skills with attention to detail and the ability to identify discrepancies in documentation.
- Excellent communication and interpersonal skills, with the ability to interact effectively with clients and internal teams.
- Ability to work independently and manage multiple tasks in a fast-paced environment.
