About this Job

Key Responsibilities:

1. Housekeeping & Cleanliness

  • Daily cleaning schedules for office, production, washrooms, and common areas
  • Deep cleaning planning and monitoring
  • Pest control and hygiene compliance
  • Supervision of in-house or outsourced housekeeping staff

2. Maintenance & Repairs:

  • Oversee preventive and reactive maintenance of electrical, plumbing, HVAC, and infrastructure
  • Manage AMC vendors and maintenance contracts
  • Address emergency repairs promptly

3. Safety, Security & Compliance

  • Ensure fire safety measures (extinguishers, drills, alarms) are in place and maintained
  • CCTV surveillance and access control system monitoring
  • Liaison with security agencies and ensure site vigilance
  • Ensure compliance with factory norms, safety laws, and environmental codes

4. Utility Management

  • Monitor and manage usage of water, power, DG sets, and UPS systems
  • Coordinate with utility service providers
  • Track and optimize consumption metrics

5. Space & Infrastructure Planning

  • Oversee workstation allocation, furniture setup, layout changes
  • Coordinate small renovations or expansions
  • Maintain reports on space utilization

6. Asset & Inventory Management

  • Maintain records of facility assets and tools
  • Ensure availability of consumables, maintenance spares, and admin supplies

7. Canteen / Pantry Operations

  • Coordinate with food vendors and monitor quality/hygiene
  • Schedule pantry support staff (boys/servers)
  • Act on employee feedback to improve service

8. Vendor Management

  • Handle sourcing, contracting, and SLA monitoring for all admin-related vendors
  • Negotiate rates, renewals, and evaluate vendor performance

9. Helpdesk & Complaint Handling

  • Manage internal helpdesk for facility-related issues (e.g. AC, lighting, utilities)
  • Maintain ticket/issue log with resolution timelines
  • Ensure user satisfaction and follow-ups

10. Sustainability Initiatives

  • Lead waste management (segregation, disposal)
  • Implement eco-friendly practices: energy saving, solar systems, rainwater harvesting

Reporting & Coordination:

  • Submit weekly/monthly reports to Management & HR
  • Maintain administrative and operational budgets
  • Assist in facility-related projects and audits

Required Skills & Qualifications:

  • Graduate in any discipline; diploma/certification in Facility or Admin Management preferred
  • 2–3 years of experience in Facilities/Administration, preferably in a manufacturing or plant environment
  • Hands-on knowledge of maintenance operations, safety compliance, and vendor management
  • Proficient in MS Office, spreadsheets, and basic admin systems
  • Strong interpersonal, problem-solving, and multitasking skills
  • Ability to work independently and manage cross-functional coordination
